Constituents Tutorial
The constituents page gives you an overview on how many constituents you have in your office’s database on Legislata.
It shows you:
How many constituents you have in your database
Messages you’ve received from those constituents and when
Where they are (on a map)
Search for a constituent
List of constituents (which can be filtered by their email address). This list shows their name, email, phone number, address, their last message to your office, and how many messages they’ve sent your office in total.
Look at an individual constituent
By clicking on a constituent in the list or by searching for them and clicking the blue Go to Constituent Profile button, you can go to their individual profile page.
This page tells you the basic information about them, shows you a list of their messages to your office (which you can click on to go to that message), and some summary information about them.
This includes how many messages they’ve sent to you and the bill/issue/topic they have most frequently mentioned.
Tags
Sometimes you want to be able to group constituents together.
In the above example, Jimmy Stewart has contacted me. He’s a part of the Cambridge Democrats and I want to record that.
So I have created the tag Cambridge Democrats and added it to Jimmy’s profile page.
You can create new tags with the orange Create New Tag button which will then be available for you to use.
You can filter your constituent database by those tags by clicking on the orange and white Filter by Tags button on the My Constituents page. You can filter constituents according to their tags and then download a CSV of those constituents. This makes a mail merge to a certain group easy to manage.
Filter by Bill
You can also filter your constituents by who has written in about a bill and what position they’ve taken.
This lets you download a list of constituents who have written to you about Bill X with Position Y or Z. This makes a mail merge to let them know your position on a bill, or your success in passing/blocking it, easy.
Upload constituent file
You can bulk upload a file of constituents to Legislata. Click Upload CSV on the main constituents page and follow the instructions in the pop up. You’ll need to label the column headers as indicated to ensure that the data maps on correctly to your database.
Currently, upload files are restricted to 100 lines per file. Get in touch about larger uploads.
